School Coordinator's Checklist

October
  • Complete online School Sign-Up on our web site by October 31. Online School Sign-up for the 2013 Calgary Youth Science Fair is now closed for the 2013 Fair. Please contact Fraser Head at entries@cysf.org for further information.

November
December
  • Review the Guidelines for Use of Human Subjects and Animals and Policy 20 if involving humans, complete the Ethics and Due Care Form 2A (NEW for 2013) for any projects that make use of animals, animal tissue or human beings, and send it to the CYSF Ethics and Safety Chairperson. This form now requires students to determine the risk associated with their project when working with humans.

  • Projects falling into the 'significant risk' category must complete Form 2B (Participation of Humans - Significant Risk Approval). The Ethics and Due Care Committee makes the final determination of risk. An example of the filled out Informed Consent Form (Form 2C) must also accompany forms 2A and 2B.
  • If students are going to use human subjects in their projects, they must have each human subject read and sign an Informed Consent Form (Form 2C). The signed forms should become part of your student log book.
  • Begin working with students on their projects.
January
  • Continue working with students on their projects.

February
  • Hold your own science fair (optional) and choose projects for entry into the CYSF.

  • Review the new DIVISION/TOPIC Descriptions with your students before filling out the Student/Project Registration Forms.

  • Complete Student/Project Registration Forms with students and parents

  • Ensure that parents and entrants received the  Entry Rules, Safety Regulations and, if applicable, the Ethics and Due Care Form.

  • Ensure that you, the parent(s), and the entrant(s) have signed the Student/Project Registration Form.

  • Submit the Student/Project Registration Forms to the person listed on the bottom of the form, by: Februaury 13th, 2013

March
  • Receive the Student/Project Check-in and Set-up Package.

  • Check to make sure all of your entrants are on the list.

  • Check for proper spelling of names and send corrections to the person listed.

  • Apply the labels to the two locations on the Student/Project Check-in Form.

  • Make a copy of the Student/Project Check-in Form with the labels affixed.

  • At the appropriate time give a copy of the Student/Project Check-in Forms (with labels applied) to the Entrants along with the Parent Information Letter and Safety Check List.

Before the Fair
  • Check the measurements of the Entrant’s backboard to ensure that they conform to the size restrictions. Correct if necessary. If you are supplying the cardboard backboards, use the smaller size available from your Board.

  • Do a final check to make sure that the project complies with all Entry Rules and Safety Regulations.

  • Arrange parental (or other) transportation  for the Student/Project Check-in and Set-up Day on: April 17th, 2013

April 17th, 2013 - Student/Project Check-in and Set-up Day
  • Make sure that your students have everything that they need to check-in (Student/Project Check-in Forms with labels affixed, Project board, Log Book and Safety Check List) and that parental (or other) transportation has been arranged.

April 19th, 2013 - Judging Day
  • Ensure that transportation has been arranged.

April 20th, 2013- Public Viewing and Awards Day
  • Come and enjoy the fair! You have earned it! Thank you for your support of the CYSF.

    Science Related Grant Sites

    • Calling All Science Giants: Devon Energy is pleased to bring the Science Giants grant program to select areas of Alberta, southern Saskatchewan and northeastern British Columbia in 2013. Junior high and high schools that demonstrate innovative approaches to science education are eligible to apply for a grant up to $5,000. The grant will provide equipment for their classroom to help implement innovative lesson plans and course curriculum. Go to www.sciencegiants.ca to apply.
    • A+ for Energy is an energy education program developed by BP to recognize teachers for innovation and excellence in teaching energy and energy conservation in the classroom. Through grants of up to $10,000, BP has had the opportunity to support many creative energy projects involving K-12 students. Since 2007, we have provided more than $2 million to support 192 winning energy projects across Alberta, benefiting nearly 50,000 students.
